2013 SUGAR Group RRRoundup Information
The 2013 RRRoundup will be unlike any event previously - bigger and better than last year's even! We have been hard at work to ensure that there will be many surprises and bigger prizes than any year before.

This year's event will take place in Tulsa, OK on March 1-2, 2013

ADDITIONALLY - the gathering will be available for you to participate from home if you aren't able to attend. For a small fee, those who can't physically be at the event can participate from home as they will be given access to all the educational materials, live chat interface with the event and live viewing of all the speakers and demonstrations. There are even a few activities and door prizes planned ONLY for those participating from home. Many of you have become familiar with our webcast service, and this will be the same. So, whether you can make it to Tulsa or not, you can participate in the RRRoundup. You won't want to miss the teaching from this year!

With a focus on research and rescue needs, this gathering will put strong emphasis on data collection and education. We have been hard at work for many months planning this gathering and assure you that you will want to be a part of this event.

Details will be revealed as we are able to confirm them. But, we wanted to give you this information right now so you can begin or continue your plans to attend knowing all the options available to you. We will post hotel information, FAQ and other exciting details in the next 4-6 weeks.

HOTEL/VENUE INFORMATION

The 2013 RRRoundup will be held at the Clarion Hotel of Broken Arrow, OK.

Room Rate: Single or Double $69 + tax

Reservations must be made no later than FEB. 14 in order to receive a guarantee on the room rate.
Please indicate name of "THE SUGAR GROUP" when booking room. Reservations must be booked directly with the reservation department at the hotel for special group rate.

Call (918) 258-7085 to make reservations.

Should we, as a group, book 10 or more rooms, the pet fee will be waived.

Hotel info:
The Clarion Hotel of Tulsa consists of 193 well appointed rooms with one King bed
or two Full beds or even two Queen Beds as an option.

For fun, relaxation and exercise you have access to the fitness room. The Clarion Hotel of Tulsa also offers free Wi-Fi throughout, a 24 hour Business Center, 24 hour free Coffee Service in the lobby and a complimentary continental Breakfast served daily from 6:30am to 9:30am in the Breakfast Bar located on the second floor.

2013 REGISTRATION INFORMATION:

REGISTRATION

Registration for the 2013 RRRoundup for those attending in person will include:

* All take-away materials for attendee
* Kick Off meet & greet on Thursday night (with finger foods/snacks)
* Dinner on Friday night
* One free bingo card at Pouch Bingo
* Catered lunch on Saturday (Dinner is on your own)
* A few special surprises
* A small gift bag

Registration Fees (for those attending in person):
Early Registration (Today - Feb. 7, 2013) = $70
Registration (Feb. 8 - Feb. 27, 2013) = $80

Payment option:

If you need to make payment arrangements for registration, please contact Val and she will be happy to work with you.

All Registration fees must be paid in full prior to the event. Though we can accept registration paid at the door, we cannot guarantee meals for those who do not pay prior to Feb. 27.


REGISTRATION TO PARTICIPATE ONLINE


For those registering to participate from home online, registration will include:

* Access to the online webcast Friday - Saturday, March 1-2, 2013
* Chat interface with the live broadcast on Saturday
* All conference materials will be emailed to you prior to the event
* One entry into our special door prize drawings for those participating online ONLY
* Ability to participate in our online "after party" late Saturday night following the event.


Registration Fees (for those participating online):

Early Registration (Today - Feb. 7, 2012) = $10
Registration (Feb. 7 - Feb. 25, 2012) = $15

Due to the logistics of this event, we will NOT be able to accept registration to participate online after Feb. 25, 2013. You MUST register and PAY IN FULL prior to Feb. 25, 2013 to participate live online.


VENDOR REGISTRATION


Vendor registration is FREE again this year. Space is limited, so will be on a first come/first served basis.


VIEWING PARTY REGISTRATION
This year we will offer the option of hosting a viewing party in your location. This will allow you to gather your friends and all participate together Viewing parties can be tons of fun!

A viewing party registration will include:

* ONE log on for the online viewing for the event
* Permission for you to have as many people as you like at your location for the event
* ONE entry for the online door prizes for your location.
* A "viewing party tips/tricks and information" guide emailed to you after your registration.
* Chat interface with the live broadcast on Saturday
* All conference materials will be emailed to you prior to the event
* ONE door prize sent to your location for giving away during the event.


Registration Fees (for those hosting a viewing party):
Early Registration (Through FEB 17, 2013) = $35
Registration (Feb. 17 - Feb. 27, 2013) = $40


Due to the logistics of this event, we will NOT be able to accept registration to participate online after Feb. 27, 2013. You MUST register and PAY IN FULL prior to Feb. 27, 2013 to participate live online.

How would you like to have one night of your stay in the hotel paid by the SUGAR Group?

The SUGAR group is working hard to prepare a fantastic event for this year's RRRoundup in Tulsa. As part of those preparations, we are offering attendees the opportunity to have one or more nights of their hotel stay paid by the SUGAR Group. We are selling business card magnets through the Glider Pals website. These magnets are a great way to remind yourself of the SUGAR Group's website address and activities. For each magnet purchased, the purchaser will also receive one entry into a drawing for a free night in the hotel at the RRRoundup. Should we sell enough magnets, we will pay for TWO nights in the hotel for the winner. Winner will be drawn on Feb. 16, 2013 and will be announced on TSS and The SUGAR Group's Facebook page.

Purchase your magnets soon, as quantities are limited. We are looking forward to a fun-filled weekend with you all!

THURSDAY, FEB. 28

Arrival at hotel
6:30 PM – glider food available for pick up in Val’s room
7:30 PM – Meet & Greet begins in Val’s room



FRIDAY, MARCH 1

9:30 – specimen collection and weigh ins
10:30 – 1:30 – free wellness exams
2:00-3:00 – SUGAR Group staff meeting – STAFF ONLY - others lunch on your own
3:30-6:00 - Pouch Bingo
6:30 – Glider feeding
7:00 – Dinner begins
7:30 PM CST – begin webcast – Personality plus awards winners and announcements



SATURDAY, MARCH 2

9:30 AM CST – Webcast begins – Morning Session
Morning activities include: 2012 activity report, Demo new options for testing, A portion of the annual data report, memorial video

12:15-1:15 PM CST – Lunch Break

1:15 PM CST – Afternoon session
Afternoon activities include: Q&A with panel (to include Dr. Walsh), A special message from TSG, financial report, a few give-aways

4:30-5:30 - BREAK (feed gliders and vendors set up)

5:30 – Evening Session
Evening activities include: Final portion of data report, Q&A regarding data report, demo of packing for necropsy shipping, auction for online participants, raffle.

7:30 PM CST – event ends -- Vending for those attending in person.


All of those participating in person will receive an email with more info from Val sometime this weekend.
All of those participating from home will receive an email from Val with log-in instructions and more info sometime between Sun-Wed. of next week.
